How to Invite Users to Your Workspace
Add people one at a time, in bulk via email list or CSV, or share a self-service invite link — plus what happens after they're added.
Who can use this feature
Available on all plans (including Free).
Requires Super Admin or Create Users admin permissions.
Who this is for
Admins with the Super Admin or Create users permission who need to add people to the workspace.
What you'll achieve
New users added to your workspace through one of three methods — single invite, bulk invite, or a shareable invite link. Each person receives an email with a link to sign in.
Before you begin
[ ] You have Super Admin or Create users permission
[ ] At least one recognition budget exists in your workspace (invited users are assigned a budget automatically)
Steps
Open the Users page under Admin → Users & Permissions and select Invite.
Single invite
Best for adding one person at a time, especially when you want to set their details upfront.
Enter name and email — both are required.
Expand optional fields — under Additional Fields you can set a recognition budget, permission group, teams, location, birthday, and hire date. If you skip the recognition budget, the workspace default is used.
Send the invite — the user's account is created immediately and they receive an invitation email.
Bulk invite (email list)
A faster option when you have several email addresses and don't need to set individual profile details.
Switch to the Bulk Invite tab in the invite dialog.
Enter email addresses — type or paste a comma-separated list.
Send — each address receives an invitation email. Everyone is assigned the workspace default recognition budget.
CSV upload
The right choice when you're onboarding many users and want to set budgets, teams, locations, or dates in one go.
Open the Bulk Invite tab and download the CSV template.
Fill in the template — required columns are name and email. Optional columns:
birthday,hire_date,recognition_budget,location, andteams.Upload and submit — the file is processed immediately. Results appear inline showing which rows succeeded, failed, or were skipped.
The upload accepts up to 500 rows per file. Only .csv files are supported.
CSV column details:
recognition_budget — enter the budget name exactly as it appears in your workspace. Leave blank to use the default.
location — enter a country name (e.g. "United States of America"). Unknown names will cause that row to fail.
teams — comma-separated team names. Unknown names will cause that row to fail.
birthday / hire_date — accepted formats include
14 Jul 2000,DD/MM/YYYY, andYYYY-MM-DD. US-styleMM/DD/YYYYis not accepted to avoid ambiguity.
Invite link
The invite link lets people join your workspace on their own, without an admin sending individual invitations. This is managed separately from the invite dialog above.
Go to Workspace → General (requires Super Admin permission).
Enable the invite link using the toggle.
Copy and share — paste the link wherever your team will see it (Slack, email, intranet). Anyone who has the link can share it further.
To control who can join, add whitelisted email domains on the same page. When at least one domain is listed, only email addresses on those domains can sign up through the link.
If no email domains are whitelisted, anyone with the invite link can join your workspace. Add at least your company's email domain before sharing the link broadly.
What to expect after
Once invited — whether by an admin or through the invite link — the person's account is active immediately:
They receive an invitation email with a link to sign in. If the person was previously deactivated and is being re-invited, the email says "reactivated your access" instead of "invited you."
Other users can recognise them straight away.
They are assigned a recognition budget (either the one chosen during invite or the workspace default).
The new user counts toward your workspace's active user total from the moment they are added. Stripe subscription quantities sync on the 1st and 15th of each month to reflect the current count.
Permission groups cannot be set through CSV upload. To assign these after a bulk import, edit users individually from the Users page.
