How to Export Data From Your Workspace

Export user profiles, gift card redemptions, and custom reward redemptions as CSV files delivered to your email.

Who can use this feature

  • Available on all plans (including Free).

  • Requires one of these admin permissions: Super Admin, View Users, View Rewards, or View Reward Redemptions.

Who this is for

Anyone who needs workspace data for reporting, audits, or compliance and has Super Admin, or the read permission that matches the export: View Users (user export), View Rewards (gift card redemptions), or View Reward Redemptions (custom reward redemptions).

What you'll achieve

A CSV file delivered to your email containing the workspace data you selected β€” user profiles, gift card redemptions, or custom reward redemptions.

Before you begin

How exports work: Every export is processed in the background and sent as a CSV attachment to your email. There is no browser download β€” once you confirm, the file arrives in your inbox within a few minutes.

  • You have Super Admin, or View Users, View Rewards, or View Reward Redemptions β€” whichever applies to the export you're running

  • Your account has an email address set β€” exports are delivered there

Export user data

This export is a point-in-time snapshot of everyone in your workspace. There is no date range β€” you get the current state.

  1. Go to Users & Permissions β†’ Users.

  2. Optionally narrow the list first using the Status or Permission Group filters, or the email search bar. The export respects whatever filters are active.

  3. Click Export in the toolbar. The request is submitted immediately β€” no date selection is needed.

The CSV includes each user's name, email, status, role, country, team assignments, permission group, point balances (allowance spent and earnings balance), and key dates (birthday, hire date, account creation).

Export gift card redemptions

  1. Go to Rewards β†’ Redemptions and make sure the Gift Cards tab is selected.

  2. Click Export. A date range dialog opens with preset buttons β€” Last 7 days, Last 30 days, This month, Last month β€” or pick a custom range with the calendar.

  3. Choose your range and click Export. The dialog closes and the file is queued for delivery.

The CSV includes each redemption's ID, user name and email, gift card name, denomination and currency, points spent, USD value, provider fee, payment processing fee, gross charge, USD exchange rate at redemption, status, creation date, and invoice date. These financial details are useful for reconciling gift card costs against invoices.

Status filters on the table (such as filtering to only fulfilled redemptions) are not carried into the gift card export β€” you'll receive all statuses within the date range.

Export custom reward redemptions

  1. Go to Rewards β†’ Redemptions and switch to the Custom Rewards tab.

  2. Optionally filter the table by Status or Location first. Unlike gift card exports, custom reward exports carry your active filters into the CSV.

  3. Click Export, select a date range (same presets and custom picker as gift cards), and confirm.

The CSV includes each redemption's ID, user name, email, and country, reward name, points spent, status, creation date, and β€” where applicable β€” who approved, fulfilled, or refunded the redemption and when.

What to expect after

The CSV typically arrives within a few minutes. Larger exports β€” especially ranges spanning many months β€” take longer to generate. There is a 30-second cooldown between exports. If you need to run a second export right away, wait for the countdown toast to clear. If an export exceeds internal size limits (100,000 rows or 5 MB), you'll receive a failure notification email instead of the CSV. In that case, narrow your date range or filters and try again.

Common mistakes

Pro tips

  • Use presets for routine reports. If you pull data monthly, the Last month preset gives you a clean calendar-month range in one click.

  • Filter before exporting custom rewards. Setting the status to Fulfilled before exporting gives you a ready-made record of completed redemptions for the period β€” helpful for month-end reconciliation.
